1. Purpose of the Privacy Policy
1.1. This Privacy Policy explains how the Albanian Esports Federation – FSHSE collects, uses, stores and protects the personal data of the users of its website and platform.
1.2. The FSHSE website serves as:
- an information platform for the federation's activities, announcements, news, events and projects;
- a registration platform for players, teams and tournament participants;
- a communication platform for regulations, results, calendars, events and official activities;
- a space to promote esports in Albania and FSHSE's international representation.
1.3. This policy applies to all users, players, teams, staff, partners, website visitors and participants in activities organised or supported by FSHSE.

2.1. FSHSE processes personal data in accordance with the legislation in force in the Republic of Albania.

2.3. Where applicable, FSHSE also aims to respect the standards of the European Union's General Data Protection Regulation, known as the GDPR.

- first name;
- surname;
- date of birth;
- gender;
- nationality;

- identity document, when required for verification.
3.2. Contact data

- parent's or legal guardian's contact for participants under 18.
3.3. Player-profile data
- nickname;
- username;
- game ID;
- game platform;
- team;
- role in the team;
- competition category;
- tournament results;
- rankings, points and sporting statistics.
3.4. Platform-account data
- username;
- encrypted password;
- verification status;
- a link to Discord or other platforms needed to run tournaments;
- registration history;
- communication preferences.
3.5. Data on minors
For participants under 18, FSHSE may request:
- the parent's or legal guardian's first name and surname;
- the parent's or legal guardian's contact;
- authorisation to participate;
- authorisation to photograph, film and publish material;
- supporting documents, if required by the tournament regulations.
3.6. Audiovisual data
FSHSE may collect:
- photographs;
- video;
- audio recordings;
- interviews;
- footage from live broadcasts;
- promotional material;
- footage from events, stages, ceremonies, competitions, teams, staff and the public.
3.7. Technical data
- IP address;
- device type;
- browser;
- operating system;
- cookies;
- technical logs;
- date and time of access;
- pages visited on the platform.
3.8. Financial or prize data
Where there are prizes, payments or rewards, FSHSE may process:
- bank data;
- tax data;
- identity document;

4. Purposes of Data Processing
FSHSE may use personal data for the following purposes:

- 4.2. Verifying identity, age and eligibility to participate.
- 4.3. Creating and managing user profiles.
- 4.4. Managing tournaments, draws, matches, results and rankings.
- 4.5. Communicating with participants about announcements, calendar changes, regulations and results.
- 4.6. Publishing winners, rankings, participating teams and statistics.
- 4.7. Promoting FSHSE's activities on the official website, social networks, media, live broadcasts and promotional material.
- 4.8. Archival and institutional documentation of the federation's activities.
- 4.9. Ensuring the integrity of competitions and preventing fraud, abuse or inappropriate behaviour.
- 4.10. Meeting legal, financial, administrative and reporting obligations.
- 4.11. Improving the website, platform, technical security and user experience.
5. Legal Basis for Processing
FSHSE processes personal data only where there is a lawful basis for doing so, in accordance with the legislation in force on the protection of personal data.
5.1. Consent
FSHSE may process personal data when the user has given clear consent for a specific purpose, such as registering on the platform, accepting the Privacy Policy, use of their image, receiving informational communications or taking part in certain activities.
5.2. Fulfilling the conditions of registration and participation
FSHSE may process personal data where such processing is necessary to enable the user's registration, verification and participation in tournaments, events, competitions, training or other activities organised by FSHSE. This processing includes administering the registration, verifying the participant's data, official communication, managing the activity, enforcing the tournament regulations, publishing results, handling complaints and fulfilling the conditions of participation.

FSHSE may process personal data where this is necessary to meet legal, administrative, financial, tax or reporting obligations, or requests from competent authorities.
5.4. FSHSE's legitimate interest
FSHSE may process personal data where such processing is necessary for the federation's legitimate interests, such as platform security, protecting the integrity of competitions, preventing fraud, documenting activities, institutional promotion and the federation's internal administration. FSHSE may process personal data where the processing relates to the federation's institutional function of developing, organising, promoting and representing esports at national and international level.

6. Use of Images, Photographs and Videos
6.1. By taking part in tournaments, competitions, events, conferences, ceremonies, public activities or recordings organised by FSHSE, the participant accepts that they may be photographed, filmed, recorded or broadcast live.
6.2. FSHSE has the right to use this material for:
- publication on the official website;
- publication on social networks;
- live broadcasts;
- promotional videos;
- posters, banners and graphic material;
- institutional presentations;
- official reports;
- historical and institutional archiving;
- promoting esports and FSHSE's activities.
6.3. The material may include:
- the participant's image;
- first name and surname;
- the nickname;
- the team;
- the result;
- the ranking;
- interviews or public statements given during the event.
6.4. The participant is not entitled to claim any special financial compensation for the use of their image in material relating to the event they took part in.
6.5. FSHSE will not use images, photographs or video in a manner that is:
- offensive;
- denigrating;
- discriminatory;
- manipulative;
- outside the context of the sporting or institutional activity.
6.6. Where the use of an image is of a specifically commercial, advertising or direct-sponsorship nature, FSHSE may request additional consent from the person involved.
6.7. For participants under 18, FSHSE may require authorisation from the parent or legal guardian for photographing, filming, recording and publishing material.
7. Minors
7.1. FSHSE places particular importance on protecting minors.
7.2. Where a participant is under 18, FSHSE may require authorisation from the parent or legal guardian for:
- creating a profile;
- registering in a tournament;
- participating in an activity;
- official communication;
- photographing and filming;
- publishing material from the event;
- receiving prizes or rewards, where applicable.
7.3. FSHSE has the right to refuse the registration or participation of a minor if:
- parental authorisation is missing;
- the data is inaccurate;
- the documentation is incomplete;
- participation conflicts with the tournament regulations;
- there is a risk to the minor's safety or well-being.
8. Sharing Data with Third Parties
8.1. FSHSE may share personal data only where this is necessary and lawful.
8.2. Data may be shared with:
- technology platforms for tournament registration and management;
- IT, hosting, email and cybersecurity service providers;
- organisational and technical event partners;
- sponsors or collaborators, only to the extent necessary;
